| IWOCP BOARD MEETING
MAY 30, 2009 HOLIDAY INN CONVENTION CENTER DES MOINES, IOWA President Mary Ann Hoerstmann called the IWOCP meeting to order at 8:30 am. She thanked the outgoing President, Jane Wright, and convention committee members, for their commitment and hard work in presenting a very enjoyable 2009 state convention. Libby Krug, chaplain, offered the blessing before the breakfast meal. Roll call was taken with 44 Iowa members present, representing 14 clubs. Minutes from the May 28, 2009 meeting were read by Linda Marshall, State Secretary. The minutes were approved as read. Deb Tokheim, State Treasurer, presented the treasurer’s report as follows: $2500 - opening balance $434 - Museum assessments $6669 - World and Iowa dues from clubs $9603 - Total balance Bills to be paid: $434 - Museum assessment for the 2008-2009 year for 217 members $5589 - to WOCP - dues for the 2009-2010 year for 207 members $200 - to president Mary Ann Hoerstmann - standing rule 18 allows for personal expenses during her term in office. $4.27 - To Deb Tokheim - Printing of the membership cards Ruth Meth motioned and Paige Lukens-Gray seconded, to accept the treasurer’s report. The motion passed. Sandy Gookin reminded members of the July 1st deadline for submitting projects to the state fair. A form can be obtained by e-mailing or calling the Creative Arts and Crafts Division of the Iowa State Fair as soon as possible - www.iowastatefair.org or 515-262-3111. A total of $200 dollars is requested for payment of one half of the judging fee and for ribbons. Karen Carlson motioned and Nancy Kemp seconded to accept this expense. The motion passed. Old Business: A treasury report audit for the year 2007-2008 was completed by Laurie Bacon, who reported that the report appeared to be in order. Laurie thanked those who helped last night, to pack the museum pieces for shipping to Oklahoma. Paige Lukens-Gray encouraged everyone to stop by the WOCP booth and see the auction pieces for the Omaha World Show and to pick up an Aqua Clip. New Business: Mary Ann Hoerstmann announced bids for publishing of the 2009-2010 yearbook are as follows: Staples - $491 Copyworks - $340.25 Brian Gallien of the Mailbox Store - $287 Paige Lukens-Gray moved to accept the bid of Brian Gallien for $287. Kathy Lewis seconded and the motion passed. Mary Ann Hoerstmann also announced that the next board meeting will be Sept 26, 2009 at the Newton Arboretum and Botanical Gardens. The cost will be $75 for rental of meeting space. Nancy Kemp motioned to approve this fee, Linda Hilton seconded, and the motion passes. Members were reminded of the World Show in Omaha which will take place July 16,17,and 18th 2009. Kathy Carlson invited members to attend The Porcelain Painter’s Paradise seminar in Arizona with the first of two sessions beginning September 15, 2009. | IWOCP Board Meeting Holiday Inn May 28, 2009 6:00 PM President Jane Wright opened the meeting by welcoming everyone. She introduced Cherryl Meggs as our Iowa guest artist. Cherryl shared some remarks and thanked Iowa for being so hospitable. Chaplain Betty Kirkland offered the blessing before the banquet meal. After dinner, roll call was taken with 44 Iowa members representing 13 clubs. There were several out of state guests. Acting secretary Karen Carlson read the minutes from the spring board meeting. Nancy Kemp made the motion to accept the minutes with the correction of Lynn Doxtad's name. The motion was seconded by Judy Coventry. Motion passed. Old Business: None New Business: The World Show is in July in Omaha, Neb. Order forms for hospitality package is in the China Decorator. Paige Gray has a table at our convention with the auction pieces on her computer and information may be obtained there or questions answered regarding the convention. Deb Cowherd from Missouri needs volunteers for the registration table at the world show. Please offer your help if you are attending. She also handed out invitations to the 2010 Missouri State Convention to be held in Independence, MO. She is selling cookbooks for her state's convention fundraiser for $10. Mary Ann Hoerstmann invited us to attend IWOCP's 2010 convention in Dubuque on May 20-22. More information will follow as they keep us informed. Lorrie Bacon, museum chairman, encouraged us to vote on the museum display as it will close on Friday at 3:00. Winners will be expected to package their own painted piece for shipping. Sandy Gookin announced that you have until July 1 to enter the fair online at www.iowastatefair.org or contact the Iowa State Fair for forms and entry booklet. It is August 13-23 and she has all her painting days filled. Jane reminded us of the tea cups and aprons for sale as fundraisers. She also thanked all the clubs for participating in putting together a theme basket or donating $25 to that cause. A motion to adjourn was made by Judith Wachter and seconded by Judy Gile. Motion passed. Entertainment was a skit put on by Jane Wright and Kathy Lewis. A live auction followed on club donated baskets and names were drawn for centerpieces and prizes. September 26, 2009 Newton Arboretum & Botanical Garden Newton, Iowa President Mary Ann Hoerstmann called the IWOCP meeting to order at 10:05 am. She welcomed members, introduced the IWOCP officers, and introduced the guest artist, Randy Wollett of Wisconsin. Libbie Krug, IWOCP chaplain, lead the members in the opening prayer. Roll call was taken by Linda Marshall, State Secretary. There were 25 members present, representing 11 clubs. Minutes of the last IWOCP Spring Board meeting were read by Linda Marshall. The minutes were corrected to read as follows: - Up to 200 dollars is allotted for payment of one half of the judging fee at the Iowa State Fair. A motion to accept the minutes and the corrections, was made by Donna Wobig, seconded by Paige Lukens-Gray. The motion passed. Deb Tokeim, State Treasurer, gave the treasury report: Balance as of May 30, 2009 ( last board meeting) $9603.00 Income: 2 new members ( Dubuque and Storm Lake) $ 64.00 Expenses paid: Approved at May 30 th board meeting WOCP 207 membership fees 2009-10 $5589.00 WOCP 217 members 2008-09 Museum fund $434.00 Mary Ann Hoerstmann - Standing Rule 18 personal expenses $200.00 Deb Tokheim - printing of membership cards $4.27 Newton Arboretum fall board meeting room $75.00 Iowa State Fair - judge fee and Best of Show $120.00 Custom Art Tile - printing of yearbooks $301.30 Additional expenses: US Bank - check printing charge $22.95 WOCP - 2 new members 2009-10 $54.00 Balance as of September 26, 2009 $2866.48 The yearbook was printed by Custom Art Tile (Cheryl Love) at a price less than the bid (plus tax) by Brian Gallien that was approved at the last board meeting. Judy Gile moved to accept the treasurer’s report, seconded by Sibyl Lee. The motion passed. Old Business: Kathy Lewis reported that the Iowa State Fair display went well. There were 180 entries which was slightly up. Phyllis Craig received Best of the Show. Kathy Lewis was a delegate to the World Show and she reported on her observations . Kathy congratulated Paige Lukens-Gray on doing a wonderful job in promoting the World Show and turned it over to Paige to report more information regarding the World Show. She thanked her very good helpers and all who participated in any way. The show was a success in every way. This year’s World Show made a profit of at least $55,000, which was more than any other show. She attributed the success to a very positive attitude and a fun filled auction A CD/DVD with pictures form the World Show was available for viewing and can still be purchased from Paige for $20.00. Contact Paige by e-mail if interested in purchasing this CD/DVD. Proceeds will go to the world show. Paige Lukens-Gray remarked on a new standing rule approved at the WOCP meeting which allows the demonstration and display of glass at shows. China paints must be used and the piece must be kiln fired to be acceptable. At present, glass work cannot be included for museum selection. Paige Lukens-Gray asked that members with suggestions regarding this issue may contact her through e-mail. Discussion followed regarding other art mediums. President Mary Ann Hoerstmann reported on the progress of plans for the Upper Midwest Regional Porcelain Art Show to be held May 20th ,21st ,22nd of 2010 at The Grand River Center in Dubuque, Iowa, with the theme of Masterpieces on the Mississippi. It will be a six state show with Illinois, Minnesota, North Dakota, South Dakota, and Wisconsin joining Iowa. All states will share responsibilities for the show and jobs have been assigned. Show profits will be divided among states, distributed according to the number of members in each state. There will be two guest artists and there will be a total of 8 pieces for the show raffle. Each state will also have a state raffle with proceeds going to the state. Iowa’s raffle project is a quilt. There is space for every club to have a display table. Each state will have a museum table. Iowa will have eight pieces for museum selection at this show. Each state is assigned a color which will be used for the ballot boxes and ballots. The official WOCP ballot will be reproduced in the assigned colors. Discussion followed regarding how the voting and how the counting of votes will proceed. Mary Ann will take suggestions back to the planning committee and revisit this issue. Pat Skemp reported on vendors and demo’s that are scheduled to this point. Ricki Nishi and Vida Klocke would like to be scheduled for a seminar in connection with the show if any club would be interested. At this time, Iowa is the only state having installation of officers at the spring show. This is scheduled to take place on Friday afternoon. Publicity was discussed. It will be done by each state plus a general mailing will take place to all club members in all states in January financed by the Dubuque Chamber of Commerce. Posters will be given to club presidents to distribute. Linda Hilton from Prairie Painters asks that states send the items they are going to provide for the vendor bags so plans can be finalized and they can be put together in a timely manner. For those doing quilt blocks, please send them to Mary Ann as early in October as possible so that the quilter can put them together. Discussion was requested regarding a contribution amount for those clubs who chose not to provide a quilt square. The amount of $ 25.00 was suggested. A motion to approve this amount was made by Kathy Lewis, a second was given by Judith Wachter. The motion passed. New Business President Mary Ann Hoerstmann requested approval to hold the spring board meeting at the Newton Arboretum & Botanical Garden in April for a room charge of $75.00. Donna Wobig motioned to approve, a second was given by Libbie Krug. The motion passed. A motion was requested for the treasurer to pay $200 to our guest artist, Randy Wollett, for his presentation today. Paige Lukens-Gray motioned to approve, Sandra Waldemar seconded the motion. The motion passed. A motion was requested for payment to Mary Ann Hoerstmann for the amount of $119.69 for today’s lunch grocery bill. A motion to approve was made by Kathy Lewis, a second was given by Carolyn Walker. The motion passed. A motion to approve the payment of the following expenses: To Deb Tokheim - postage to send membership papers to WOCP $4.95 To Pat Skemp - portion of Friday night hotel for artist Randy Wollett $50.00 To Linda Thomas - Website bill from Yahoo from June 1, 2009 through November 30,2009 $71.70 A motion to approve was made by Kathy Lewis, seconded by Sibyl Lee. The motion passed. State Historian, Madonna Mackin, passed out new state historian pages to all clubs present to take back to their club historian. Historian pages will be sent to all clubs not present. All clubs are encouraged to submit information on events and seminars to the web master Linda Thomas. The web master address is bmdbaron@juno.com . She will post the information on the “Club News Page” at iwocp.org. Following lunch and a drawing for door prizes, Randy Wollett facilitated a fun demonstration and paint along featuring butterflies and bubbles.
